Version Tracking

When you create a document in M-Files, it automatically assigns it an initial version, often labeled as “Version 1”

 

As you make changes to the document, such as editing the content or metadata, M-Files increments the version number.

 

Check-in and Check-out

To ensure that only one person makes changes at a time, M-Files allows users to “check out” a document. 

 

When a document is checked out, it becomes locked for editing by others. Once you’re done making changes, you “check in” the document, which updates the version number and makes it available for others to edit.

Version history

M-Files maintains a complete history of all versions of a document. You can view this history to see who made changes, when they were made, and what those changes were. 

 

This audit trail helps with accountability and understanding how a document has evolved over time.

If you need to revert to an earlier version of a document (for example, if you discover an error in the latest version), you can easily do so in M-Files.
