M-Files Version Control

How version control works in M-Files
a

Version Tracking

When you create a document in M-Files, it automatically assigns it an initial version, often labeled as “Version 1”

Β

As you make changes to the document, such as editing the content or metadata, M-Files increments the version number.

Β

Check-in and Check-out

Β As you make changes to the document, such as editing the content or metadata, M-Files increments the version number.

Β

To ensure that only one person makes changes at a time, M-Files allows users to “check out” a document.Β

Β

When a document is checked out, it becomes locked for editing by others. Once you’re done making changes, you “check in” the document, which updates the version number and makes it available for others to edit.

Version history

M-Files maintains a complete history of all versions of a document. You can view this history to see who made changes, when they were made, and what those changes were.Β

Β

This audit trail helps with accountability and understanding how a document has evolved over time.

Reverting to previous versions

If you need to revert to an earlier version of a document (for example, if you discover an error in the latest version), you can easily do so in M-Files.Β

Β

This ensures that you don’t lose valuable information and can restore a document to a previous state.

Collaboration

Version control in M-Files enables multiple users to collaborate on the same document without fear of overwriting each other’s work.Β

Β

Each collaborator can check out the document, make changes, and then check it back in, updating the version as needed.

Workflow integration

Version control can be integrated with workflows in M-Files.Β

Β

For example, you can set up a workflow that automatically triggers when a document reaches a specific version, ensuring that it goes through a review process or gets approved.

Overall, version control in M-Files enhances document management by providing a structured way to handle document changes, preserving document histories, and enabling efficient collaboration among users. It helps organizations maintain control over their documents while promoting collaboration and productivity.
